This is accomplished by coordinating and completing numerous activities related to the City and its departments.
Other duties may include providing assistance to departments, completing customer service activities, providing various administrative services, maintaining records and database and interfacing with other City employees and citizens.
This position does not provide direction to other employees.
Essential Functions The information listed below is intended to describe the general nature and level of work being performed by individuals assigned to this position.

Supports the department by answering questions from citizens, applicants, employees, handling correspondence, distributing mail, writing memos and letters, making copies, utilizing computer programs and software, generating and distributing reports for the department and processing purchase orders.
Provides customer service by greeting and assisting customers and visitors, managing the flow of information for the department, overseeing purchasing, petty cash levels, finance records, entering data into financial systems, setting up blanket purchase orders, answering incoming calls, routing calls to the correct office or person, copying and distributing messages within the office, assisting customers with complaints by phone and making calls for the department when necessary.
Completes numerous administrative services by scheduling appointments, typing, proofreading and preparing reports, preparing and distributing work orders, participating in the duties relating to department administration, maintaining department inventories, ordering and maintaining office equipment and supplies, completing numerous clerical and secretarial services, providing assistance to other departments and special projects as requested.
Responds to customer inquiries regarding the reservations process and schedules reservations through the reservation software system as requested by the customer; coordinates staff support with the appropriate operations supervisor.
Interacts with local youth sports organizations in scheduling field/facility usage, maintains schedule changes and subsequent invoicing of fees at season's end.
Job Requirements Education & Experience Work requires broad knowledge in a general professional or technical field.
A typical way to obtain the required qualifications would be:
High School diploma or equivalent plus one (1) year of relevant work experience.
Other combinations of education and experience may be considered.
Certification and Other Requirements Valid Class C Drivers License CPR/First Aid Training within 90 days of employment (The City of Allen will provide the training) Overall Physical Strength Demands Light - Exerting up to 20 lbs.

The employee normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results with some discretion when making selections among a few, easily identifiable choices.

Health & Dental Insurance The City of Allen offers a choice of two PPO Medical Plan options for full-time employees.
Vision insurance is included through enrollment in either of these plans.
Employees also have the option of participating in an indemnity Dental Plan.
Coverage is available to all full-time employees and their dependents under these plans at group rates.
Employee insurance coverage goes into effect the first day of the month following 30 days of employment.
Insurance Coverage Basic Group Life Insurance and Accidental Death and Dismemberment protection is provided to eligible full-time employees in the amount of one time the annual salary up to a maximum of $250,000 for each benefit.
Long-Term Disability Insurance is provided at no cost to full-time employees.
The City of Allen also offers optional programs that include Short-Term Disability, Voluntary Supplemental Life, Dependent Life and Voluntary AD&D insurance group rates.
Flexible Spending Accounts Participation in Flexible Spending Accounts through payroll deduction for Health Care and Dependent Care expenses is also available for full time employees.
Wellness Program The City of Allen administers a wellness program for full-time employees which provides premium reimbursement for participation in various wellness programs throughout the year.
Workers Compensation All employees are covered by workers compensation for injuries sustained in the line of duty.
Holidays Employees receive nine paid holidays per year, including one personal day.
Vacation Employees with less than ten years of service are eligible to earn 120 hours per year.
Employees with ten or more years of service are eligible for 160 hours per year.
Sick Leave Full-time employees on a 40-hour workweek shall accrue 4.
62 hours towards sick leave per pay period.
There is no limit to the amount of sick leave hours accrued.
Retirement The City of Allen participates in the Texas Municipal Retirement System (TMRS):
All full-time employees must participate in the Texas Municipal Retirement System.
TMRS is a qualified tax deferred retirement plan under Section 401 of the IRS.
Seven (7%) percent of gross earnings are deducted each payroll as a pre-tax deduction and deposited into the member account.
When an employee becomes vested and retires, the City provides 2-to-1 matching contributions.
The City of Allen also participates in Social Security.
Deferred Compensation The City of Allen offers an optional deferred compensation 457 plan in which employees can contribute a portion of their salary, before taxes, to a retirement account.
Longevity Employees who have been with the City of Allen at least a year receive $4 per month for every month worked.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
