Key responsibilities include handling correspondence, managing information flow, overseeing purchasing and accounts payable tasks, generating reports, and processing various administrative documents.
They also provide exceptional customer service and perform diverse administrative duties such as scheduling, typing, and maintaining records and databases.
Additionally, they exhibit leadership skills by supervising assigned staff, resolving issues, and ensuring efficient workflow.
Essential Functions This information is intended to describe the position's key responsibilities.

Provides support to the department by handling correspondence, distributing mail, writing memos and letters, making copies, managing the flow of information for the department, overseeing purchasing and accounts payable tasks, utilizing computer programs and software, generating and distributing reports for the department and processing purchase orders, time sheets and leave requests.
Provides customer service by greeting and assisting customers, taking incoming calls, routing calls to the correct office or person, copying and distributing messages within the office, answering questions from citizens, applicants, employees and the general public, assisting customers with complaints and making calls for the department when necessary.
Provides numerous administrative services by scheduling appointments, typing, proofreading and preparing reports, screening calls and participating in the duties relating to department administration, advertising and updating open positions, publishing legal notices, maintaining department inventories including ordering and maintaining office equipment and supplies, maintaining personnel files, payroll records and agenda items, may prepare zoning cases and providing assistance to other departments and preparing special projects as requested.
Plans, directs, coordinates and reviews work of assigned staff by meeting with staff to identify and resolve problems, assigning work activities, projects and programs; monitoring workflow; reviewing and evaluating work products methods and procedures and providing training and direction as needed.
Maintains records and databases by updating and maintaining files and records, creating and maintaining databases, obtaining and entering information into databases, compiling and preparing information for reports and researching or searching for information in files and databases.
May serve as the Records Liaison Officer for the department's Records Management Program.
Job Requirements Education & Experience Work requires broad knowledge in a general professional or technical field.
A typical way to obtain the required qualifications would be:
Bachelor's degree plus two (2) years of relevant work experience Other combinations of education and experience may be considered.
Certification and Other Requirements Valid Texas Class C Drivers License.
Supplemental Information Reading Intermediate - Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias.
Ordinarily, such education is obtained in high school up to college.
However, it may be obtained from experience and self-study.
Math Intermediate - Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement.

Writing Intermediate - Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech.

Managerial Receives directions:
The employee normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results with some discretion when making selections among a few, easily identifiable choices.
Assignment is reviewed upon completion.
Budget Responsibility None Supervisory / Organizational Control Work may require supervising and monitoring performance for a regular group of employees or a work unit including providing input on hiring/disciplinary actions and work objectives/effectiveness, performance evaluations, and realigning work as needed.
Complexity Work involves choices of action within limits set by standard practices and procedures.
Professional judgment is required to apply the proper course of action.
Health & Dental Insurance The City of Allen offers a choice of two PPO Medical Plan options for full-time employees.
Vision insurance is included through enrollment in either of these plans.
Employees also have the option of participating in an indemnity Dental Plan.
Coverage is available to all full-time employees and their dependents under these plans at group rates.
Employee insurance coverage goes into effect the first day of the month following 30 days of employment.
Insurance Coverage Basic Group Life Insurance and Accidental Death and Dismemberment protection is provided to eligible full-time employees in the amount of one time the annual salary up to a maximum of $250,000 for each benefit.
Long-Term Disability Insurance is provided at no cost to full-time employees.
The City of Allen also offers optional programs that include Short-Term Disability, Voluntary Supplemental Life, Dependent Life and Voluntary AD&D insurance group rates.
Flexible Spending Accounts Participation in Flexible Spending Accounts through payroll deduction for Health Care and Dependent Care expenses is also available for full time employees.
Wellness Program The City of Allen administers a wellness program for full-time employees which provides premium reimbursement for participation in various wellness programs throughout the year.
Workers Compensation All employees are covered by workers compensation for injuries sustained in the line of duty.
Holidays Employees receive nine paid holidays per year, including one personal day.
Vacation Employees with less than ten years of service are eligible to earn 120 hours per year.
Employees with ten or more years of service are eligible for 160 hours per year.
Sick Leave Full-time employees on a 40-hour workweek shall accrue 4.
62 hours towards sick leave per pay period.
There is no limit to the amount of sick leave hours accrued.
Retirement The City of Allen participates in the Texas Municipal Retirement System (TMRS):
All full-time employees must participate in the Texas Municipal Retirement System.
TMRS is a qualified tax deferred retirement plan under Section 401 of the IRS.
Seven (7%) percent of gross earnings are deducted each payroll as a pre-tax deduction and deposited into the member account.
When an employee becomes vested and retires, the City provides 2-to-1 matching contributions.
The City of Allen also participates in Social Security.
Deferred Compensation The City of Allen offers an optional deferred compensation 457 plan in which employees can contribute a portion of their salary, before taxes, to a retirement account.
Longevity Employees who have been with the City of Allen at least a year receive $4 per month for every month worked.

The check will bounce and the victim is left responsible.
